Team & roles

Invite members, assign permissions

OpenPost workspaces on Pro and Max can have unlimited members with role-based access. You decide who can connect accounts, who can publish, and who just drafts. Team members are included at no extra cost on Pro and Max. Plus is a single-user plan — upgrade to Pro if you need to invite teammates.

Inviting members

Go to Settings → Team

You’ll see the current roster, pending invites, and an Invite button.

Enter email + role

You can invite multiple people at once — paste a comma-separated list. Every invite expires after 14 days; resend anytime.

Invitees accept via email

They click the link, create a password (or sign in with Google/GitHub), and land in your workspace. Admins get a confirmation notification.

Roles

Agencies typically use Admin for their team leads and Editor for the social managers who run day-to-day publishing. Clients get Viewer access so they can watch the calendar fill up.

Channel-scoped access

On Max, you can scope editors to specific channels. A member invited as Editor (LinkedIn, X only)can’t accidentally publish to Instagram. This is particularly useful when:

  • Your social manager only owns organic, not paid
  • A client has team members who each run one brand channel
  • A video editor only touches YouTube and TikTok

Approvals workflow

If your workspace has Require approval turned on, contributors and editors submit posts for review. A post in awaiting_approvalcan’t publish until an admin or editor signs off. See Create a post for the full approval flow.

Removing a member

Remove from Settings → Team → ⋯ → Remove. Their scheduled posts stay in the queue and publish as planned — ownership transfers to the workspace owner automatically. Their drafts move to a “Removed members” folder that admins can review.

Removing the owner is not possible — transfer ownership first, then the old owner becomes an admin and can be removed normally.

Activity log

Every action in the workspace is logged: who published what, who connected an account, who changed billing. Admins can review at Settings → Activity or export the log via the API (Pro and Max). Logs retain for 12 months.
